The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers and contact information including names, phone number, email address, indications of additional requirements of all event attendees

  • Booking information such as IP addresses used during online booking/registration, including if this is from a third party provider or our webhost, Wix.com.

  • Preferences, feedback

  • Name and email address for mailing list administration

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Adding you to our mailing list to keep you informed about forthcoming events organised by us

  • For the efficient management of your attendance at a Bare West Event

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Venues used by Bare West Events where their sharing of your information with us will make your attendance at the event smoother

  • Third party providers of bookings/registration at events

 

We use the information that you have given us in order to:

  • Allocate pitches efficiently and appropriately

  • Ensure attendance is the same as detailed in a booking

  • Share information about Bare West Events

  • Manage customer service queries

  • Send you Newsletters

  • Help us provide information which you have requested

  • Manage orders placed with us

  • Ensure the veracity and legitimacy of attendees at our events

 

We may share this information with venues which host Bare West Events, other Naturist Clubs, Societies, Organisations and online groups. We may also share information with any government statutory body including law enforcement, licensing and safeguarding panels.

We do not share information outside the UK unless we are hosting an event in another country.

 

Under the UK General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored on a password-protected storage device.

We keep information relating to a specific event until 6 months after that event is completed. Your information will then be disposed of securely.

We keep information that we have had to share with other organisations in situations outlined above. This information is reviewed on an annual basis.

We keep mailing list information until you request that it be deleted.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
